Pitch Holder Terms & Conditions

Effective from January 2026 • Applies to: All traders, vendors and pitch holders at Montserrat events

These Terms must be read alongside the General Event Terms & Conditions. By confirming a pitch booking you agree to comply with both documents. Smile Emporium traders should additionally read the Smile Emporium Trading Requirements.

Catering vendors: Appendix 1 required reading

All catering vendors using cooking oil must read and comply with the Catering Oil Policy & Operations Protocol.

Application of These Terms

These Pitch Holder Terms & Conditions apply to all traders, vendors, market stall holders, food and drink operators, and any other commercial pitch holders attending a Montserrat event.

These Terms must be read alongside the General Event Terms & Conditions, which apply to all persons on site.

By confirming your pitch booking you agree to be bound by both documents.

Pitch Allocation

Pitch locations are allocated by the event organiser and are subject to change.

Montserrat reserves the right to:

  • reallocate pitches for operational or safety reasons;
  • reduce or alter the size of a pitch;
  • refuse a pitch application without giving a reason.

Pitch holders must not sub-let, share or transfer their allocated pitch without prior written consent from Montserrat.

Booking and Payment

Pitch bookings are confirmed only once payment has been received in full and written confirmation has been issued.

Pitch fees are non-refundable unless an event is cancelled by Montserrat.

Where an event is postponed, pitch fees may be held over to the rescheduled date at the organiser's discretion.

Setup and Breakdown

Pitch holders must arrive and set up within the times specified in their event joining instructions.

Vehicles must be removed from the public event area before the event opens to visitors unless otherwise agreed.

Breakdown must not begin until the event has officially closed and it is safe to do so.

Pitch holders are responsible for removing all waste, packaging and equipment from the site at the end of the event.

Permitted Goods and Services

Pitch holders must only sell or offer the goods and services stated in their booking application.

Any changes to product lines must be agreed in writing with Montserrat before the event.

The following are not permitted without specific prior authorisation:

  • sale of alcohol;
  • sale of age-restricted products;
  • amplified music or sound equipment;
  • live cooking with open flame (beyond standard catering equipment);
  • sale of items that may conflict with event sponsors or other confirmed traders.

Presentation and Standards

All pitches must be presented to a professional standard throughout the event.

Pitch holders must keep their area clean, tidy and free from hazards at all times.

Signage must be kept within the allocated pitch area.

Montserrat reserves the right to require a pitch holder to alter their presentation where it does not meet the required standard.

Health, Safety and Insurance

All pitch holders must hold valid Public Liability Insurance of a minimum of £5 million and must provide evidence of this upon request.

Food businesses must hold a current Food Hygiene Rating and comply with all applicable food safety legislation.

Pitch holders are responsible for carrying out their own risk assessment for their pitch activities.

Any gas, electrical or LPG equipment must be inspected and certificated as required by law.

Pitch holders must comply with all reasonable health and safety instructions given by event staff.

Catering Oil PolicyMandatory

All catering vendors using cooking oil must comply with the Catering Oil Policy & Operations Protocol (Appendix 1).

Key requirements include:

  • cooking oil must be stored in secure, purpose-built containers;
  • drip trays or protective ground covers must be used beneath fryers or oil-based equipment;
  • oil must not be poured onto the ground, tarmac, grass or into any drains;
  • all used oil must be removed from site in sealed containers and disposed of through an authorised waste carrier;
  • vendors must carry their own spill response kits;
  • all catering staff must be briefed on oil handling and disposal procedures before arriving on site.

Failure to comply will result in removal from the event and potential liability for cleaning costs and damages.

Electricity and Utilities

Where electrical connections are provided by the event organiser, pitch holders must only use the supply allocated to them.

All electrical equipment must be PAT tested where required.

Generators may only be used with prior written permission from Montserrat.

Behaviour and Compliance

Pitch holders and their staff must behave professionally and courteously at all times.

The standards of behaviour set out in the General Event Terms & Conditions apply equally to pitch holders and their staff.

Montserrat reserves the right to remove any pitch holder from an event without refund where these Terms are not followed.

Exclusivity

Montserrat does not guarantee exclusivity of product or service category unless this has been confirmed in writing as part of the booking.

Event Changes

Montserrat reserves the right to cancel, postpone or significantly alter an event.

In the event of cancellation by Montserrat, pitch fees paid will be refunded.

Montserrat accepts no liability for any additional costs incurred by pitch holders, including but not limited to travel, stock, staffing or accommodation costs.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
